File preparation can make or break a print workflow. With the right solutions in place, fixing an improperly prepared file before it is sent to the printer saves time, money, and a print provider’s reputation. The vulnerabilities apparent during the file preparation portion of print workflow is discussed in the September issue of Digital Output. Here, we share solutions from providers that address and remedy the challenges.

Aleyant
Aleyant focuses on catching errors the moment a file leaves the customer’s hands, long before it ever touches production. This is approached from two angles—automated workflow management and dedicated prepress automation.
A good example of this is PDF2Press. When a customer uploads a file—whether they do it directly or through Pressero web to print storefronts—PDF2Press goes to work instantly behind the scenes. It automatically preflights the file, fixes common errors on the fly, and generates an accurate digital proof for the customer to review even before they hit the checkout button. This flips the script on the traditional workflow; instead of a printer finding a file error days after an order is placed, the customer catches and approves the fix in real time while placing their order.
Once that order enters the shop, Aleyant’s automated workflow solution, tFlow, takes over to handle the heavy lifting on the production side. Caldera
Caldera’s PrimeCenter 5, the latest version of its prepress job preparation and workflow software for wide format and industrial print workflow, includes File Editor, a built-in workspace designed to help print service providers inspect, modify, and validate files faster before creating layouts for production.
With File Editor, Caldera brings key prepress actions into a single environment, reducing the need to switch between tools and helping operators move jobs through production ensuring greater consistency. Integrated directly inside PrimeCenter, File Editor allows users to review critical file components that include dimensions and cutting paths and apply immediate corrections and confirm results in real time.
Files are then passed directly to PrimeCenter’s Layout Creator, where jobs are automatically nested into optimized layouts for printing and cutting. Files can also be exported from File Editor directly to PDF.
Durst Image Technology US
Durst provides complete software solutions designed for the digital printing market. Durst Workflow and its prepress optimization tools form a comprehensive, end-to-end ecosystem designed to standardize, automate, and accelerate print production from file intake through final output. At the core, Durst Workflow integrates advanced RIP processing, color management, automated preflight, and job routing ensuring files are validated, corrected, and optimized before they reach the press.
These prepress optimization tools intelligently detect and resolve common file issues such as incorrect color modes, missing fonts, low-resolution images, and improper sizing. HP
HP PrintOS Production Hub helps streamline many of the preflight tasks that may be manual and traditionally occur between file submission and printing. The goal is to reduce operator touchpoints, minimize errors, and minimize job turnaround.

Hybrid Software
Hybrid Software continues to invest in products like PACKZ, CLOUDFLOW, iC3D, and technologies that automate repetitive prepress tasks while providing greater visibility and control throughout the workflow.
Matches in CLOUDFLOW and PACKZ is an AI-powered visual search engine for all packaging assets produced by a printer or trade shop. Many packages are similar but differ in key areas such as size or language, so identifying jobs produced in the past with similar text, barcodes, and even image content helps ensure fast and accurate production of new ones.
InSoft Automation
Imp nesting software is powered by a smart and fast ganging engine for printing on textile, fabric, leather, vinyl, and more. No cut contour in input files for digital cutting? No problem. Imp software generates the cut path from non-white pixels, in the artwork. Imp software can generate spot separation from image areas for under/overprinting white ink, varnish, or other embellishments. Imp software automatically generates bleed content if the bleed is missing in input artwork as well.
Markzware, Inc.
FlightCheck remains Markzware’s preflight workhorse for checking fonts, colors, images, and document construction before output. Newer technologies build on that foundation with Structured Layout Intelligence, which helps users inspect, understand, preview, and reuse design files without needing the original application that created them.
A recent example is Markzware’s IDML preview capability. All Markzware products work independently of a live Adobe InDesign installation. IDMarkz, OmniMarkz, FlightCheck, and MarkzPortal can open and preview IDML files, helping users review, inspect, preflight, and prepare content faster. MarkzPortal extends these same capabilities to distributed teams through the browser, enabling prepress operators, clients, and stakeholders to review files without requiring an InDesign license.
This matters because IDML, Adobe’s XML-based InDesign exchange format, has often been difficult to evaluate without InDesign. By making IDML files visible before conversion, production, or approval, Markzware helps reduce uncertainty and eliminate delays caused by inaccessible content.
Markzware also connects print workflows to digital publishing through DesignMarkz, its Canva app. DesignMarkz imports IDML files directly into Canva, allowing InDesign content to be repurposed and edited by marketing teams, clients, and other stakeholders without rebuilding layouts from scratch.
Mimaki USA, Inc.
Mimaki has a new addition to its RIP software, Rasterlink7, called Job Creator. This program allows for the use of previous files as a template during the file creation process. So, if you have one print application that you’ve spent hours perfecting, you can replicate the same print conditions with different artworks. Job Creator saves all the previous print information from resolutions to pass counts and even layering options.
Onyx Graphics, Inc.
One specific feature in ONYX Graphics Thrive RIP is ColorCheck. ColorCheck is a process control tool that monitors printing performance. The baseline ColorCheck test is one way to determine whether print output remains consistent from day to day. It is important to maintain printer conditions, use consistent media types, and be mindful of environmental factors such as temperature and humidity. A baseline ColorCheck test can be created and then reprinted and measured on a scheduled basis to ensure consistent print results over time.
SAi
SAi streamlines complex workflow by integrating color management tools directly into the DesignCentral panel in Flexi Complete. Once the foundation is set, users can edit files in the actual output color space with soft proofing enabled. This exhibits the exact real-world impact of adjustments on screen before sending the job to production.
Viesus
Viesus enhances images inside a PDF directly, producing a print-ready output without breaking the file’s structure or requiring the operator to manually extract, upscale, and reinsert assets.
Viesus is licensed technology—it’s already embedded in a number of leading print workflow and web to print platforms. For many print providers, the capability is already available in the tools they use today. The question is simply whether it’s switched on. If not, you can start today with a simple hot folder solution, where Viesus detects if a file needs enhancement and/or upscaling.
